1. Introduction

Welcome to AfterSchoolClubs.co.uk. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website.

2. Data We Collect

We may collect, use, store and transfer different kinds of personal data about you which we have grouped together follows:

• Identity Data: includes first name, last name, username or similar identifier.
• Contact Data: includes email address and telephone numbers when contacting us, submitting a review or suggesting a club update.
• Club Finder Data: includes your email address, postcode, selected family requirements, activity preferences and the shortlist generated when you ask us to email your results. We do not ask for your child's name or date of birth.
• Journey Check Data: includes the starting postcode, travel mode, day and arrival time you submit for an on-demand route. The postcode is converted to coordinates and is not stored by us unless you explicitly choose “Remember this place”, which saves it only in your browser on that device.
• Provider Data: includes organisation, relationship to a club, supporting evidence and listing claims.
• Technical Data: includes browser information and a one-way hash derived from request information for abuse prevention. The club-update and parent-review forms do not store the visitor's raw IP address.

3. How We Use Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

• To publish reviews you submit to the platform.
• To calculate, save and email a club comparison that you request.
• To calculate a journey to one or more clubs when you press “Check my journey”.
• To send the four-part Club Choice email series only when you separately choose to receive it.
• To verify, review and publish club listing corrections.
• To contact a provider about a listing claim or submitted evidence.
• To prevent spam, abuse and unauthorised changes.
• To improve our website and services.
• To respond to your inquiries.

4. Journey checks and mapping providers

For a journey check, the postcode is sent to Postcodes.io to obtain coordinates. We then send those coordinates and the selected travel mode to Geoapify to calculate the route. We do not send Geoapify the postcode or a child's details. Geoapify processes the request under its privacy policy. We cache the resulting duration and distance in our database for up to 30 days, or 7 days for public transport. If Geoapify throttles the request, we may send the same coordinates and journey settings to Google Maps Platform for a live fallback. Google fallback results are not saved. Google processes that request under the Google Privacy Policy. The cache key is one-way hashed and the raw postcode is not stored. A postcode is saved in the browser only when you choose “Remember this place”.

5. Club update submissions

Suggested changes are stored in a private review queue. Approved club facts may be published, but submitter contact details are not displayed on the public listing. We retain an audit record so that changes can be reviewed or reversed.

6. Parent review submissions

Parent reviews and reviewer email addresses are stored privately while awaiting moderation. Only approved review names, ratings and comments are published. Email addresses are used for moderation and are never displayed on club listings. Rejected reviews are retained with an audit record.

7. Club finder emails

When you request an emailed comparison or personalised guide, we store the contact details, preferences and shortlist required to provide that service. Any results-only requests are automatically deleted after 90 days. We only treat a request as a subscription when the action is clearly labelled as joining the Parent Guide.

When you choose “Join free and email my plan”, you request the personalised guide and subscribe to the After School Clubs Parent Guide. We send practical club-selection advice and relevant local updates, beginning with four Club Choice emails covering questions to ask, the full cost of a club, settling in and making a final choice. Every message includes an unsubscribe link. Unsubscribing immediately stops the remaining series, records the withdrawal of consent and shortens the record's remaining retention period to 90 days. Subscription records are otherwise retained for up to 12 months.

8. Email delivery providers

We use a specialist email provider to deliver requested comparisons, personalised guides and Parent Guide emails. The provider processes the recipient email address and email content on our behalf. Delivery and segment status is stored privately so we can diagnose failed messages and prevent duplicate sends.
